Privacy policy.
What we collect, why, who sees it, and how to have it removed.
The short version
We collect the minimum we need. We do not sell, rent, or trade anyone’s information. Information a family shares with us is confidential and is not disclosed without their permission, except in the narrow circumstances the law requires. Consent to use a story or photograph can be withdrawn at any time, without explanation, and without any effect on services.
Information families give us
When someone contacts us for support, we collect what is needed to understand the situation and determine whether we can help — typically name, contact information, a safe way and time to reach them, and a description of what they need. If a family enters a program, we collect additional information required for service delivery, safety, and funder reporting.
You decide what you share. You will not be asked to prove you deserve support or to explain past decisions.
How family information is used and shared
- Within Nia Imani: only staff who need it to provide support.
- With partner organizations: only with your specific, written permission, and only what that partner needs.
- With funders: in aggregate. Because we serve a small number of households, we do not publish breakdowns that could identify a family.
- When the law requires it: including mandatory reporting of suspected child abuse or neglect, and valid legal process. We will tell you when this happens unless prohibited from doing so.
We do not sell, rent, or trade personal information under any circumstance.
Stories and photographs
We do not publish a family’s story, photograph, or identifying detail without informed, written consent that is specific to the use.
Consent is revocable at any time, without explanation, and without any effect on the services you receive. When consent is withdrawn we remove the material from circulation, including from materials already printed, already submitted to a funder, or already paid for. To withdraw consent, contact us by any method on this page.
Donor and supporter information
We collect what is needed to process a gift, acknowledge it, and meet tax and reporting requirements. Payment card details are handled by our payment processor and are not stored by us.
We do not sell, rent, trade, or share donor lists. You may change how often you hear from us, or ask to be removed from all communication, at any time.
Website information
This site is hosted on Squarespace, which collects standard analytics including pages visited, approximate location, browser type, and referring site. We use this to understand which pages are useful. We do not use it to identify individuals.
Forms on this site are delivered to monitored staff inboxes. If someone else has access to your device or accounts, consider whether using a form here is safe for you. See our internet safety page, and note that every page has a Quick Exit button.
How long we keep information
Family records are retained as long as required by funders, licensing, and applicable law, and then securely destroyed. Donor records are retained as long as required for tax and audit purposes. Inquiry records from people who did not enter a program are retained only as long as needed to respond.
How information is protected
Access is limited to staff who need it. Records containing family information are secured, and staff are trained on confidentiality as a condition of employment and volunteering.
Your rights
You may ask what information we hold about you, ask that it be corrected, withdraw consent for a story or photograph, ask to be removed from communications, or raise a concern about how your information was handled. Contact us and we will respond within five business days.
Children
This website is not directed to children and we do not knowingly collect information from children online. Information about children in our programs is collected from a parent or guardian as part of service delivery.
Changes
Material changes to this policy will be reflected in the effective date above and reported to the board. Contact admin@niaimanifamily.org or call (414) 933-1633 with any question about this policy.
Before publishing
This draft should be reviewed by counsel and adopted by the board. Confirm the retention periods against funder and licensing requirements, confirm mandatory reporting language against Wisconsin statute, and confirm the analytics description against the site’s actual configuration. Then insert the effective date and delete this note.
